Summary:
Responsible for the effective schedule coordination and dispatch of service technicians; communication with customers and service technicians regarding service calls/jobs; daily tracking of service technicians; providing material and logistical support; creating, maintaining, and closing service/job tickets; and performing various administrative tasks.
1.
Customer Support.
Receives incoming phone calls and emails for assigned trade areas (e.
g.
, HVAC, Electrical, and/or Plumbing) Answers and returns customer calls and emails quickly, providing informed responses to non-technical needs or questions Creates accurate and complete service/job tickets using information provided by customers via phone or email Monitors and schedules customer preventative maintenance work as it comes due Contacts customers to alert them of service technician availability or any schedule changes Updates customers awaiting job completion, including providing periodic information regarding status of ordered parts Reviews overnight calls received and contacts customers to follow up as needed Handles angry or dissatisfied customers calmly and professionally, resolving their issues while remaining within policies 2.
Scheduling Support.
Manages dispatch board for assigned trade(s) including daily coordination of all available service technician schedules Schedules service calls and jobs based on the priorities of the service manager and customer needs Assigns service technicians based on job requirements, ability, location, and existing technician-customer relationships Schedules service technicians for future work, return calls, and/or job continuations Redeploys field labor in event of unplanned technician absence and/ or if additional time is needed on prior jobs 3.
Technician Support.
Pages service calls and job assignments to service techs and follows up to ensure all pages have been received Ensures service technicians will be on time for first calls each morning Confirms service technician arrival at all scheduled calls/jobs Answers any non-technical service call/job and customer related questions Assists service techs with needed parts, tools, and equipment, including generating purchase orders, ordering and tracking ordered parts from vendors, and coordinating logistics support/delivery to maximize on site productivity Monitors service technician time on service calls/jobs, and provides any available support while service technician is on-site to ensure on-time service call/job completion and avoid return trips Communicates with technicians at the completion of each service call and gathers and records all necessary information in the digital job ticket, including detailed description of work completed, hours worked and billed, parts and materials used, including purchase order information, billing/payment information, and additional work requiring a return trip 4.
Department Support.
Coordinates with Service Manager(s) the trade-specific on-call schedules and distributes to staff and third-party call center Performs warranty management functions, including entering warranty information in service/job tickets, filing warranty documents with vendors, and obtaining vendor authorizations to perform warranty work Assists in month- and year-end activities, including ensuring all completed service tickets are closed and invoiced Supports Closeout Coordinator and/or Permit Expeditor as needed Performs general office and administrative tasks such as scanning, copying, organizing, and/or supplying as needed Compiles, reconciles, and reports service tech payroll information accurately and within required timeframes 5.
Miscellaneous Support.
Coordinates with other departments to ensure dispatch processes are accommodating to downstream processes Prepares reports and performs SAWIN tasks as requested by department personnel Maintains and organizes customer records including merging duplicates, correcting misspellings, and fixing inaccuracies Stays up to date with SAWIN changes and upgrades in order to remain a subject matter expert for others Job Type:
