These positions provide administrative support to the clinical supervisor of the Occupational Health Service under the Office of the Chief of Primary Care Service at the Lake Baldwin Outpatient Care Center and the Orlando VA Medical Center Lake Nona Campus. The Program Support Assistants serve as the Office Manager for the OHP to facilitate ongoing employee health care, the smooth running of the office/clinic, and physician credentialing as it relates to the Orlando VA Healthcare System. Duties and responsibilities include, but are not limited to:
He/She coordinates all administrative aspects of operating the OHP at each site. He/She provides administrative/ technical support for Occupational Health Records System (OHRS electronic version). He/She performs clerical and administrative work in support of the care and treatment given to employees, such as receiving employees or maintaining employee patient files; administering or advising on medical record systems; or maintaining medical records in the OHP. The incumbent receives and assists employee patients either in person or over the telephone. The incumbent provides timekeeping services for Occupational Health and all Primary Care Providers at the Orlando VA Medical Center. Incumbent is responsible for receipt and distribution of all mail and correspondence for the office ensuring items requiring follow-up or actions are appropriately suspended and presented for completion. Maintains and manages leadership calendars for a business unit. May be required to provide office coverage for other administrative/clerical staff as requested. The incumbent also reviews work measurement functions for the Orlando OHP to ensure that basic reporting requirements and procedures are being followed that reports provide clear and concise information; analyze data to determine and evaluate results, trends, and developments; and writes Standardized Process as needed to implement changes in reporting structure. Incumbent will be able to apply fact-finding and investigative techniques to ensure that OHP follows all appropriate VHA Policies. Assists with the scheduling and monitoring of purchasing/procurement transactions for the full range of standard items and services to meet the organization's needs. Completes equipment turn in/request documentation for the service, enters electronic work orders and/or 2237s. Maintains the procurement/purchasing records and reports. Coordinates travel, makes travel arrangements, prepares travel estimates and maintains records of travel cost of staff members and other budget items. Receives, assigns, and monitors externally and internally generated correspondence and inquiries. Procures, authorizes, controls, and justifies a variety of general support services such as office supply stock levels and office equipment. Performs other related duties as assigned. Work Schedule:

Experience:
You must have one (1) year of specialized experience equivalent to at least the next lower grade (GS-05) in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
performs a variety of administrative duties including, typing, copying, faxing, filing, and other tasks associated with maintaining and supporting work. Performs administrative work in support of the care and treatment given to employees/patients, such as receiving employees/patients; maintaining employee/patient files; administering or advising on medical record systems; and maintaining and/or processing medical records. schedule meetings, obtain conference rooms, arrange for, monitor, and secure equipment, teleconference lines, videoconference equipment, services, and products and copies as needed.
